Anti-Spam Policy

SenderWiz has zero tolerance for spam. We enforce strict sending practices to protect deliverability and maintain trust for every user on our platform.

1. What Constitutes Spam

SenderWiz maintains a strict zero-tolerance policy towards spam. We are committed to maintaining the reputation of our platform and the deliverability of all our users by enforcing responsible email practices.

We define spam as any electronic message that meets one or more of the following criteria:

  • Unsolicited bulk email: Messages sent in bulk to recipients who have not explicitly and verifiably opted in to receive communications from the sender
  • Purchased or harvested lists: Emails sent to lists that were purchased, rented, scraped, harvested from websites, or obtained through any means other than direct, voluntary opt-in
  • Deceptive content: Messages with false or misleading header information, deceptive subject lines, forged sender addresses, or content designed to misrepresent the sender's identity or intent
  • Missing compliance elements: Emails that do not include a valid physical postal address, a working unsubscribe mechanism, or proper sender identification
  • Ignoring opt-outs: Continued emails to recipients who have previously unsubscribed, opted out, or filed a spam complaint
  • Misleading transactional emails: Disguising marketing messages as transactional or relationship-based emails to bypass consent requirements
  • Spam trap hits: Sending to known spam traps, honeypots, or recycled addresses that indicate poor list hygiene

2. Sender Requirements

All SenderWiz users must adhere to the following requirements when using our platform to send emails. Failure to comply with any of these requirements may result in account suspension or termination:

Consent & Permission

  • Only send to recipients who have given explicit, verifiable consent (opt-in) to receive emails from you
  • Maintain records of how and when each subscriber consented, including timestamp, source, IP address, and consent text
  • Use double opt-in (confirmed opt-in) for subscription forms whenever possible — required for sending to EU recipients
  • Never add contacts to your list without their knowledge or consent, including from business cards, event attendee lists, or co-registration sources without proper disclosure

Email Content & Compliance

  • Include a working, one-click unsubscribe link in every marketing and commercial email
  • Honor all unsubscribe requests within 24 hours — SenderWiz processes these automatically
  • Include a valid physical mailing address in every email (P.O. Box is acceptable in some jurisdictions)
  • Use accurate and non-deceptive "From" names, email addresses, and reply-to addresses
  • Ensure subject lines accurately represent the content of the email
  • Clearly identify promotional content as an advertisement where required by law

List Hygiene & Maintenance

  • Maintain clean email lists by regularly removing hard bounces, unsubscribes, and inactive addresses
  • Process hard bounces immediately — do not continue sending to addresses that have hard bounced
  • Remove soft bounces after 3 consecutive delivery failures
  • Implement re-engagement campaigns for inactive subscribers before removing them
  • Never use list-cleaning services that send verification emails without recipient consent

3. Monitoring & Enforcement

We actively monitor all sending activity on our platform to maintain high deliverability standards and protect the reputation of all SenderWiz users. Our monitoring includes:

  • Automated detection: Real-time monitoring of bounce rates, spam complaint rates, spam trap hits, and sending patterns across all accounts
  • Threshold alerts: Automatic flagging of accounts that exceed safe thresholds — bounce rate above 5%, complaint rate above 0.1%, or spam trap hits
  • Content scanning: Automated review of email content for known spam patterns, phishing indicators, and deceptive elements
  • Manual review: Accounts flagged by automated systems are reviewed by our compliance team within 4 hours during business hours
  • IP reputation monitoring: Continuous monitoring of sending IP reputation across all major blocklists and feedback loops
  • New account scrutiny: Enhanced monitoring during the first 30 days of a new account or after a significant change in sending patterns

4. Consequences of Violation

Violations of this Anti-Spam Policy are treated seriously. The specific action taken depends on the severity, intent, and frequency of the violation:

First Offense — Warning

  • Written warning with detailed explanation of the violation
  • Temporary sending rate reduction while the issue is investigated
  • Required corrective action within 48 hours (e.g., list cleaning, content modification)
  • Compliance review call with our team for serious first offenses

Repeated or Severe Violations

  • Immediate suspension of all sending privileges pending investigation
  • Account termination without refund for confirmed deliberate spam
  • Reporting to relevant anti-spam organizations (Spamhaus, SURBL, etc.)
  • Blacklisting from future SenderWiz accounts
  • Legal action in cases of severe, deliberate, or persistent violations
  • Reporting to law enforcement for phishing, malware distribution, or fraud

Accounts suspended or terminated for anti-spam violations are not eligible for refunds per our Refund & Cancellation Policy.

5. Reporting Spam

If you have received spam or abusive email that you believe was sent through SenderWiz, we want to hear from you. We investigate all reports promptly and take appropriate action.

  • Report spam via our contact form — include the full email headers, email content, and a description of why you believe it is spam
  • Use our dedicated Report Email Abuse page for detailed reporting with guided steps
  • We acknowledge all abuse reports within 4 hours during business days
  • Investigations are completed within 24 hours, with appropriate action taken immediately upon confirmation

6. Regulatory Compliance

Our Anti-Spam Policy is designed to align with and exceed the requirements of major international anti-spam and data protection regulations:

  • CAN-SPAM Act (United States): Compliance with all requirements for commercial email including opt-out mechanisms, physical address, and honest headers. See our CAN-SPAM compliance page for details
  • CASL (Canada): Compliance with Canada's Anti-Spam Legislation including express and implied consent requirements
  • GDPR (European Union): Compliance with data protection requirements including lawful basis for processing, consent management, and data subject rights. See our GDPR compliance page
  • PECR (United Kingdom): Compliance with the Privacy and Electronic Communications Regulations
  • Australian Spam Act 2003: Compliance with Australian requirements for consent, identification, and unsubscribe mechanisms
  • India IT Act 2000: Compliance with Indian regulations governing electronic communications

We require all users to comply with the applicable laws of their jurisdiction and the jurisdictions of their recipients. When regulations differ, the stricter standard applies.
